Guidance Note to Parents & Students
Recommendations for an enriching experience and ensuring better learning outcomes with Classbuk.
📘 Academic Planning
1) Share your complete syllabus, including learning goals along with upcoming and final assessment dates as soon as available to you and agree on a completion strategy (syllabus, revision, past-year papers, homework) with the teachers concerned.
2) Share topics for upcoming classes well in advance with teachers.
3) Set clear goals for each class and review progress periodically with the teacher in terms of tests.
4) If additional classes are required, discuss and agree on teachers or Classbuk well in advance.
📝 Class Preparation and Progress
5) Students should complete homework on time and come prepared with doubts/questions. Any task which can be done outside the class (e.g., tests, watching videos ) should be done outside the class to make the most of teacher time.
6) Keep all study material/stationery ready before the class.
7) Request teachers for reference notes/practice material for every class
8) Use the Google Classroom app to share all study materials and raise doubts with the teacher.
9) Set up an additional device/DOC CAMERA to focus on the document/notepad on which the student may be physically writing, allowing online teachers to see and guide students in real-time. ( https://amzn.to/42FyzQi)
10) Teachers are required to arrange PTMs (within one the classes during the last 10-15 mins) and share progress reports regularly. Please ask the teachers for the same and be available along with the students for the PTMs.
🎥 Class Discipline & Environment for Students
11) Join classes on time. Upcoming classes, as agreed with Classbuk, are updated on your Classbuk Google Calendar. Please intimate Classbuk team immediately in case of any incorrect Class scheduled on your calendar. Classbuk team may not be able to call to join classes in case of delay. Teachers have back-to-back classes and are not mandated to extend classes.
12) In case of urgent messages (e.g., short notice class cancellations due to emergencies, teacher not joined etc), please send a message in Google Classroom ( for direct teacher reference) and also a message in this WhatsApp group. If such urgent messages are not acknowledged, please WhatsApp call on any of the Classbuk numbers in this group. The teachers are similarly advised to do so. Please enable notifications on the Google Classroom app
13) Keep your camera ON at all times. Teachers are also expected to keep cameras at all times.
14) Please avoid eating or taking the classes in an improper posture (e.g., lying down) during the class
15) In case you think group classes will help you, you can invite your friends studying the same syllabus to register with Classbuk and join the same sessions with you. 16) Communicate proactively with teachers, sharing your concerns
17) Share your feedback with Classbuk regularly, rating your teachers via classbuk.com/feedback-parents-students/or request a call back from a Classbuk representative. Motivate teachers and the Classbuk coordination team by sharing your testimonials in your social media & whatsapp groups or Google reviews.
📅 Consistency
18) Keep rescheduling or cancellations to a minimum and ensure to take make-up classes within the same week to avoid a hold of class credits. Be mindful that cancellations lead to loss of learning continuity and teachers’ earnings. Short-notice cancellations ( < 24 hrs) will be marked Absent, except in genuine emergencies. Make-up classes should be taken within the week and, at most, within a month to avoid loss of class.
19) In case of any class reschedules / cancellations agreed with the teacher directly, both the student/parent and the teacher are supposed to inform Classbuk to schedule the class
20) Given that we are serving multiple countries, scheduled classes continue to be conducted irrespective of public holidays or festivals anywhere in the world, including India, unless expressly cancelled much in advance.
OTHER GUIDELINES
| a) | JOINING ONLINE CLASSES: Upcoming classes with Classbuk are updated on your Classbuk Google Calendar with applicable Class joining links. Watch this short video: https://www.youtube.com/watch?v=LLDeCtvgaaE Ensure students are logged into their Classbuk Gmail ID to check their upcoming classes & class joining links. Enable automatic notifications to reduce no shows/class joining delays Please click for your Google calendar view. Watch this video for instructions to join. Please ensure to check your Google calendar invites from Classbuk and advise if any changes are needed. Track and join each class a few minutes in advance. Google Calendar events are scheduled for additional days beyond paid sessions as a buffer. Please also enable automatic email calendar notifications. So parents need not share the class link every time 🙂 Classbuk may / may not make calls to parents for reminders to join the class as invites via Google calendars OR messages are sent already. | |
| b) | CLASS REMINDERS: Class Reminders may be sent on the WhatsApp group as an additional service on a best-effort basis. The absence of a reminder does not mean the class has been cancelled. There have been instances of WhatsApp being down also. Classbuk is not responsible for any third-party systems. In case of doubt eg google Calendar is not updated, or a WhatsApp message has not been received/delivered due to any reason, please reach out to the Classbuk Support team. | |
| c) | GOOGLE CLASSROOM: We use Google Classroom to exchange assignments and messages between teachers and students directly for certain ongoing classes. It also helps in tracking timelines of assignments and submissions, and all assignments are centralised during the entire course duration. Parents and teachers can access Google Classroom using the email id and password created by Classbuk. The email id and password will be shared separately with you. Logging into the Google Classroom using the email id and password for the first time may require OTP, so please feel free to call us if needed if you face such issues. Downloading the Google Classroom app on the phone also helps in the easy submission of assignments directly from the mobile. Exchange of personal information ( full name, email id or phone) or fees, etc., directly or indirectly between teacher and parent is not permitted. Please do not change the password assigned to you. Teachers are expected to submit assignments immediately after the completion of respective classes to give sufficient time for learners to complete the homework. The Google Classroom will be archived after the end of the course, and it may be assigned to another student. Hence, it is advisable to download the assignments on an ongoing basis. | d) | Keep the Zoom account/ Gmail logged into the student’s device with the student’s first name, with screen share permission enabled. Note: On macOS 10.15 Catalina, you need to allow Zoom access to screen recording to share your screen. You can do this in your System Preferences. Select the Security & Privacy option, click the Privacy tab, scroll down to Screen Recording, and finally check the option for zoom.us. | e) | If your learner has not joined the meeting 10 minutes after the class’s start time, the teacher is entitled to leave the meeting. Such a class may be counted as a regular paid class. Classbuk will not be responsible for calling parents to join the class for already scheduled classes | |
| f) | Classes are fixed based on IST time zones. In case of a need for time changes overseas due to daylight savings, parents are required to give advance intimation of the time change request and schedule classes as per the mutual availability of the teacher. In the absence of any intimation, the classes will continue as per the IST time fixed. | |
| g) | For group classes, missed classes are counted as regular classes. Make-up classes for such students in a group class will be taken on a best-effort basis. | |
| h) | There is no limit to the number of reschedules of classes where a doctor or hospital visit is required or specific health conditions upon submission of a doctor’s prescription and specific approval by Classbuk. | |
| i) | Classes can be paused ( due to vacations, etc.) for a maximum of 4 weeks. Please inform us as soon as plans are firmed so that teacher slots can be utilised during the gap. | |
| j) | For any technical issues, parents are requested to message the Classbuk WhatsApp group. In case of urgent issues like a teacher not joining, etc., please message us on the WhatsApp group. In case your message has not been read or responded to immediately, please feel free to call us to ensure the issue is addressed immediately. | |
| k) | The classes may be required to be extended at times by the teacher, as requested by students or parents, beyond the regular time duration of the class. Fees will be payable for an extended duration on a proportionate basis. | |
| l) | Parents should be available for regular Parent Teacher Meetings ( PTMs) and advise Classbuk if there are any open issues. PTMs timings are paid to the teachers and hence are conducted during the class. If PTM is needed by the parent after the class, the PTM duration will be charged to the parent as per the class amount. Parents should ensure that help is available in case of technical issues faced by younger students. | |
| m) | OTHER TERMS a) The sessions will be recorded by Classbuk for quality and monitoring purposes. b) Prices and slots are assured for only paid sessions. c) In case of a delay in joining the class by a student, the teacher is entitled to take the class for the balance of the scheduled duration. Further, if a student has left a class early ( except on emergency health grounds), the teacher is not mandated to provide make-up for the missed time in the subsequent classes. d) Renewal payments are due before the last of the paid sessions to ensure renewal blocking. e) HOLD amounts are refundable credits and will be added back, subject to request from the parent concerned, after a successful non-repetition of the specific issues in the 3 months. So if a hold has been applied in Jan 2025, there should not be any repeat of the same case in Jan, Feb and Mar 2025. f) Exchange of personal information ( full name, email id, phone, social media page, etc.) or fees, etc., directly or indirectly between teacher and parent/student is prohibited.
